Operations Administrator

How this role connects to RST

The RST Operations Administrator provides dedicated administrative, billing, and compliance support for RST operations. This role focuses on billing accuracy, driver log administration, credit management, and maintaining accurate operational documentation to support efficient day-to-day operations and regulatory compliance.

Billing & Financial Administration

  • Process, review, and edit invoices for accuracy
  • Enter and manage permits in Sylectus
  • Maintain billing protocols and procedures
  • Monitor and manage billing email accounts
  • Print and mail cheques as required
  • File and organize fuel receipts
  • Assist with pay sheet preparation
  • Process internal work orders from EMDECS (equipment maintenance and repair)
  • Coordinate parts ordering and purchase order (PO) requests
  • Perform credit checks and support credit management processes
  • Support budget tracking and cost monitoring

Driver Logs & Compliance Support

  • Monitor and process HOS (Hours of Service) / driver logs
  • Maintain accurate compliance and billing records
  • File and maintain DVIR, FLHA, Cry Sheets, and MyGrove documentation
  • Ensure all records meet regulatory and audit requirements
  • Support compliance with NSC, HOS, and safety standards

Systems & Records Management

  • Maintain organized digital and physical filing systems
  • Manage permits, invoices and compliance documentation
  • Ensure documentation is complete, accurate, and audit-ready
  • Support preparation of operational and compliance reports
  • Monitor and maintain Workhub compliance documentation
  • Track expiries for permits, licenses, and required certifications
  • Support continuous improvement of administrative processes

Human Resources Administration

  • Driver Qualification Files (licenses, abstracts, training, certifications)
  • On-boarding/off-boarding
  • Ensure all employee files meet audit and compliance requirements
  • 2+ years of administrative or billing experience
  • Transportation or logistics industry experience considered an asset
  • Strong attention to detail and accuracy
  • Experience with invoicing and accounting support tasks
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Sharepoint)
  • Ability to manage confidential financial and employee information

Heavy Haul Winch Truck Driver

How this role connects to RST Reporting to the President the Heavy Haul Winch Truck Driver is responsible for coordinating with Logistics and Leadership to ensure the safe, efficient, and compliant transportation of over-dimensional freight across Canada. This role includes operating winch trucks for loading and positioning equipment, and requires strong operational awareness, attention to detail, and a commitment to safety and regulatory compliance.
  • Maintain clear and effective communication with Logistics and Leadership teams, following all directives.
  • Perform mandatory inspections, including:
    • Pre-trip and post-trip inspections
    • Intermediate inspections
    • Job Hazard Assessments (JHA)
    • Field Level Risk Assessments (FLRA)
  • Assess assigned loads by verifying:
    • Dimensions and weight distribution
    • Required rigging equipment
    • Potential safety risks
  • Operate winch trucks for loading, unloading, and positioning heavy or over-dimensional equipment as required.
  • Troubleshoot issues and perform minor roadside maintenance while coordinating with the Fleet Coordinator.
  • Coordinate effectively with shippers and receivers.
  • Ensure compliance with Canadian federal regulations, DOT requirements, and applicable laws.
  • Maintain Hours of Service (HOS) compliance using electronic logging devices (Elogs).
  • Safely transport over-dimensional loads using multi-axle trailers across Canada.
  • Work with Logistics to obtain and interpret required permits.
  • Submit load securement photos to confirm compliance with industry standards.
  • Maintain cleanliness and general housekeeping of truck and trailer.
  • Ensure required PPE is worn and safety protocols are always followed.
  • Promote a strong safety culture and contribute to a positive workplace environment.

  • Proven experience with over-dimensional hauling
  • Experience operating winch trucks in heavy haul or equipment transport environments
  • Fluent in English
  • Exposure to dust, dirt, noise, water, and vibrations
  • Work in extreme weather conditions (heat and cold)
  • Frequent exposure to vibration during operation
  • Prolonged sitting
  • Frequent bending, crouching, kneeling, walking, and standing
  • Good hand-eye coordination
  • Ability to lift up to 50 lbs
  • Ability to work at heights
